THE ANNUAL GENERAL MEETING AND ANNUAL REPORT
The Annual Report is an important document. Often it, and the AGM, are seen as chores, something which has to be done.

USING YOUR AGM AS A PUBLICITY TOOL

You can turn the AGM and the Annual Report to your advantage. Use your report as a means of “selling” your organisation and its work. If you write and present it properly it can be used for sending out to potential funders as back up information, and as publicity material to accompany Press releases.

Arrange well in advance, the venue and any pieces of equipment you may require to present your reports and ensure that proper facilities exist, eg disabled toilets, lifts, wheelchair access etc.

The AGM is an ideal opportunity for your organisation to promote itself and maximise its publicity/awareness raising.

Contact the press or issue a Press Release after the event.
Invite a local dignitary or celebrity to talk on a relevant issue and publicise their involvement. If the Press can’t send a photographer take your own photographs and send them in with the press release.

Invite as many people as you can. The more people who know what you’re doing the more publicity you will get, with the advantage that you may attract new members, new helpers and perhaps, even new funders.

Among the people to consider inviting:

social workers
health professionals
funders
other voluntary organisations
Councillors
